Maslow is an interview operating system designed to make interviews more structured, fair, and decision‑ready. This Privacy Policy explains how Maslow (“we”, “us”) collects, uses, and protects personal data when you use the Maslow Chrome Extension and related services. This policy is written to meet Chrome Web Store requirements and reflects Maslow’s actual product behaviour.
1. Who We Are
Maslow builds software that helps companies run interviews that are structured, fair, and decision‑ready. Maslow is an interview operating system. It supports live interviews with structured agendas, real‑time prompts, scoring frameworks, and post‑interview feedback. Maslow is designed to reduce bias, improve consistency, and help hiring teams make better decisions without adding administrative burden.
2. Scope of This Policy
This Privacy Policy applies to:
- The Maslow Chrome Extension
- The Maslow web application available at www.maslowhq.com
- Interview recording, transcription, and analysis carried out by Maslow
This Privacy Policy does not apply to personal data that Maslow processes strictly on behalf of its customers (employers) when acting as a service provider or data processor. In those cases, Maslow processes personal data only in accordance with the customer’s instructions and applicable data protection agreements.
This policy also does not apply to third-party platforms used alongside Maslow (such as Google Meet, Zoom, or Microsoft Teams), which are governed by their own privacy policies.
3. Data We Process
Maslow processes personal data only where it is necessary to deliver structured interviews and generate interview insights. We do not collect data unrelated to hiring or interview activity.
- Interview Data (when recording is enabled)
- Audio and video from live interviews
- Interview transcripts generated from recordings
- AI‑generated insights, summaries, scores, and confidence indicators derived from interview content
- Candidate‑Provided Data
- CVs or resumes uploaded by the employer or candidate
- Interview responses and answers provided during the interview
- Candidate‑submitted feedback or experience ratings
- Interviewer and Hiring Team Data
- Interviewer notes, scores, and qualitative feedback
- Hiring decisions and next‑step indicators
- Technical and Usage Data
- Extension activation events and feature usage (non‑content)
- Error logs and diagnostic data required for platform reliability and security
Maslow does not collect:
- General web browsing history
- Content from websites unrelated to an active interview
- Background audio, video, or screen data outside Maslow‑enabled sessions
4. When Recording Occurs
Interview recording behaviour is explicit and controlled.
- Recording is enabled by default under the employer’s legitimate interest
- Candidates are informed in advance that Maslow records interviews
- Candidates can opt out at any time before the interview
If a candidate opts out:
- No recording takes place
- No transcript is created
- No AI analysis, scoring, or insights are generated
- Maslow runs in manual mode only
Candidates can opt back in before the interview if they change their mind.
5. Why We Process Data
Maslow processes personal data only for clearly defined and limited purposes:
- To deliver and operate structured interview workflows
- To generate interview transcripts, insights, summaries, and scores where recording is enabled
- To reduce bias and improve consistency and fairness in hiring decisions
- To provide interview feedback to candidates and hiring teams
- To support auditability, compliance, and internal review of interview processes
- To maintain, secure, and improve the Maslow platform
Maslow does not use interview data for advertising, behavioural profiling unrelated to hiring, or resale.
6. Legal Basis for Processing
Maslow processes data under the following lawful bases, depending on region:
- UK / EU: Legitimate Interest (GDPR Article 6(1)(f)), with the right to object
- United States: Legitimate business purpose
- Australia / New Zealand: Legitimate business function
Where consent is required or withdrawn, Maslow immediately suppresses recording and analysis.
7. Data Retention
Maslow retains data only for as long as necessary to fulfil its purpose.
- Raw recordings are retained only while needed to generate reports
- Transcripts and insights follow configurable retention periods
- Data is deleted or anonymised according to employer settings and legal requirements
If a candidate opts out, data capture and processing stop immediately.
8. Security Measures
Maslow is built with security as a foundational requirement, not an afterthought.
- Encryption of data in transit and at rest
- Role‑based access controls that limit data visibility to authorised users only
- Segregation of customer data
- Immutable audit logs covering consent and processing events
Interview recordings and transcripts are never made publicly accessible and are only available to authorised participants within the hiring process.
9. Analytics and Tracking
Maslow uses limited analytics solely to ensure the reliability, security, and performance of the platform.
- Analytics track high-level product usage events and system performance
- Interview content, audio, video, transcripts, and AI-generated insights are never used for analytics
- Maslow does not perform interest-based advertising or cross-site tracking
Where required by law, users may opt out of non-essential analytics.
10. Chrome Extension‑Specific Disclosures
The Maslow Chrome Extension:
- Activates only during supported interview sessions
- Does not run continuously in the background
- Does not access pages unrelated to interviews
- Does not collect personal data outside Maslow‑enabled interviews
The Maslow Chrome Extension collects and processes data solely to enable structured interview functionality and for no other purpose.
The extension does not collect data when not actively in use during a supported interview session. The extension exists solely to support live interview functionality.
11. Data Sharing
Maslow does not sell personal data.
Maslow may disclose personal data only to the following categories of recipients:
- Service providers and subprocessors required to operate the platform (such as secure hosting, transcription, and infrastructure providers), under strict data protection agreements
- Employers and authorised interviewers who are entitled to assess interview results for hiring purposes
- Legal or regulatory authorities where disclosure is required to comply with applicable law or enforce legal rights
Maslow does not share interview data with advertisers and does not use interview data for marketing purposes.
12. Your Rights
Depending on your location, you may have the right to:
- Access your personal data
- Request correction or deletion
- Object to processing
- Withdraw consent where applicable
